Travel Booking Agreement & Terms and Conditions

Ticama Tours, LLC.
Private Group Travel

Effective Date: October 29, 2026

Welcome to Ticama Tours, LLC. We are pleased to offer thoughtfully planned group travel experiences featuring culture, adventure, relaxation, and meaningful connections.

This Travel Booking Agreement & Terms and Conditions (“Agreement”) establishes the rights and responsibilities of Ticama Tours, LLC. (“Ticama Tours,” “Company,” “we,” “our,” or “us”) and each person booking or participating in a trip (“Traveler,” “Guest,” “you,” or “your”).

Please read this Agreement carefully before reserving travel.

By affirmatively accepting these terms during checkout, you acknowledge that you have reviewed and agree to this Agreement, the selected trip description, the applicable payment schedule, and any additional trip-specific terms disclosed before booking.

Nothing in this Agreement waives rights that cannot legally be waived.

1. Identity of the Contracting Company

All travel bookings offered through www.ticamatours.com are made with Ticama Tours, LLC., a limited liability company, rather than with its owner, members, managers, employees, or representatives individually.

Company representatives act on behalf of Ticama Tours, LLC. when performing authorized company business.

To the fullest extent permitted by applicable law, contractual obligations arising from a booking are obligations of Ticama Tours, LLC., and not personal obligations of its members, managers, or representatives solely because of their company roles.

Nothing in this section excludes personal liability that may arise under applicable law from an individual's own conduct, personal guarantees, or other independent legal obligations.

2. Reservations and Booking Confirmation

Reservations are subject to availability, accurate traveler information, required payments, and written confirmation.

Submitting a booking request or receiving an automated payment receipt does not guarantee confirmation of airline tickets, accommodations, or other supplier arrangements.

Ticama Tours will confirm accepted reservations in writing.

If requested travel arrangements cannot be confirmed, the traveler may accept an available alternative or receive a refund of payments for services that cannot be provided, as required by law.

Ticama Tours may decline a reservation before confirmation for legitimate business reasons consistent with applicable law.

3. Package Pricing and Services

Package prices are quoted in U.S. dollars unless otherwise specified.

Prices may vary according to departure location, travel dates, hotel, room occupancy, airfare availability, and selected services.

The applicable trip description and booking confirmation identify the services included in the package price.

Services not expressly identified as included are excluded.

Additional expenses may include optional excursions, event admissions, meals, baggage charges, gratuities, personal purchases, travel insurance, and independently arranged transportation.

Mandatory fees and charges will be disclosed before booking confirmation.

Ticama Tours will not impose undisclosed price increases on confirmed reservations.

4. Deposits, Installments and Final Payment

A. General Booking Policy

Unless different trip-specific terms are disclosed before booking:

  • A deposit equal to 25% of the total package price per traveler is required at booking.

  • Eligible travelers may select an installment plan offered at checkout.

  • The remaining balance must be paid in full 45 calendar days before departure.

  • Reservations accepted within 45 days of departure require full payment at booking.

All payments must follow the amounts and deadlines shown in the accepted payment schedule.

The deposit becomes nonrefundable upon booking confirmation, except as otherwise provided by this Agreement or required by law.

A five-calendar-day grace period may be provided following written notice of a missed payment, unless an earlier supplier deadline disclosed at booking applies.

Unresolved nonpayment may result in cancellation and applicable cancellation charges.

Ticama Tours may decline to issue final travel documents or confirm additional services while required payments remain outstanding, subject to applicable law.

B. Special Payment Policy: Carnaval Week in Panamá 2027

The following payment schedule applies specifically to both Carnaval Week in Panamá 2027 packages:

  • Value Gran Evenia Panamá: February 5–12, 2027.

  • Premium Hilton Panama: February 6–11, 2027.

These Carnaval-specific terms supersede the general deposit and payment deadlines in Section 4(A).

Initial Deposit

A deposit of $500 per traveler is required when booking.

The $500 deposit is nonrefundable following booking confirmation, except when Ticama Tours cancels the trip or when a refund is otherwise required by applicable law.

First Installment: December 15, 2026

One-half of the remaining package balance, calculated after subtracting the $500 deposit, is due on December 15, 2026.

Final Installment: January 15, 2027

The other half of the remaining package balance is due on January 15, 2027.

The full package price must be paid by January 15, 2027.

Example

For a package costing $2,475 per person:

  • Initial deposit at booking: $500

  • December 15, 2026: $987.50

  • January 15, 2027: $987.50

  • Total: $2,475

Payment amounts vary according to the selected package, departure airport, and room occupancy.

The exact amounts and payment dates will be displayed during checkout or provided in the written booking confirmation.

Automatic Installment Payments

Travelers selecting an installment plan authorize the applicable payment processor to charge the agreed payment method according to the schedule accepted during checkout, subject to the processor's terms and applicable law.

Travelers are responsible for maintaining a valid payment method and notifying Ticama Tours promptly of payment difficulties.

Online Deposit Plan Availability

The scheduled online installment plan may be offered only for bookings completed on or before December 8, 2026, due to checkout system restrictions.

December 8 is a booking-system deadline, not the final date on which Ticama Tours may accept reservations.

Reservations requested after December 8, 2026, are subject to availability and must be arranged directly with Ticama Tours. Any applicable payment schedule will be disclosed and accepted in writing before booking confirmation.

For bookings accepted after December 15, 2026, the amount otherwise due through that date must be paid at booking, unless a different written schedule is expressly agreed upon.

For bookings accepted on or after January 15, 2027, full payment is required at booking.

Ticama Tours is not obligated to accept late reservations.

5. Cancellation by the Traveler

All cancellation requests must be submitted in writing to:

asarlat@ticamatours.com

The cancellation date is the date Ticama Tours receives the written request.

A. General Cancellation Policy

Unless a different trip-specific cancellation schedule was disclosed and accepted before payment, the following schedule applies:

Written Cancellation Notice Cancellation Charge 91 days or more before departure25% of total package price61–90 days before departure50% of total package price31–60 days before departure75% of total package price30 days or fewer before departure100% of total package price

These charges are intended to reflect anticipated losses, committed supplier costs, and reasonable administrative expenses, not punitive penalties.

Cancellation charges apply only to the extent enforceable under applicable law.

B. Special Cancellation Policy: Carnaval Week in Panamá 2027

The following cancellation schedule applies specifically to the Value Gran Evenia Panamá and Premium Hilton Panama Carnaval 2027 packages and supersedes the general cancellation schedule above.

Date Written Cancellation Is Received Cancellation Charge Before December 15, 2026$500 nonrefundable deposit per traveler December 15, 2026–January 14, 202750% of total package price per traveler January 15, 2027, or later100% of total package price per traveler

Cancellation charges are calculated using the full confirmed package price per traveler.

Refund of Amounts Exceeding the Cancellation Charge

If a traveler has paid more than the applicable cancellation charge at the time of cancellation, Ticama Tours will refund the difference, subject to applicable law and any separately disclosed, legally enforceable conditions.

For example, a traveler whose package price is $2,475 and who cancels on December 20, 2026, would be subject to a cancellation charge of $1,237.50.

If that traveler had already paid the $500 deposit and the $987.50 December installment, totaling $1,487.50, the difference of $250 would be refundable, subject to applicable law.

If the traveler has paid less than the applicable cancellation charge, any additional amount owed will be determined according to the accepted booking agreement and applicable law.

No additional, undisclosed cancellation penalties will be imposed.

No-Shows and Unused Services

Travelers who voluntarily miss their departure, fail to appear for scheduled activities, leave the trip early, or decline included services may not be entitled to refunds for unused arrangements, except where required by law or expressly agreed in writing.

Refunds owed will be processed in accordance with applicable law and the relevant payment method's requirements.

6. Cancellation or Material Changes by Ticama Tours

Ticama Tours may cancel or modify a trip when necessary because of insufficient participation, supplier unavailability, safety concerns, extraordinary events, or other legitimate operational circumstances.

If Ticama Tours cancels either Carnaval Week in Panamá 2027 package before departure, Ticama Tours will refund all payments made to Ticama Tours for that canceled package.

A traveler will not be charged a voluntary cancellation penalty solely because Ticama Tours cancels the trip.

For other trips, travelers will be notified and offered applicable alternatives or refunds as required by law and the accepted booking agreement.

If a material change substantially affects the booked experience, Ticama Tours will communicate available options and applicable remedies.

Nothing in this section limits additional refund or consumer protection rights provided by law.

7. Travel Insurance

Travel insurance is optional but strongly recommended.

Ticama Tours recommends purchasing travel insurance at the time of booking because certain benefits may be time-sensitive and subject to eligibility requirements.

Travel insurance may provide protection for covered trip cancellations, interruptions, medical emergencies, emergency evacuation, baggage problems, and travel delays.

Coverage depends on the specific policy, insurer, exclusions, conditions, and applicable law.

Travel insurance is not included unless expressly stated in the selected package.

Travelers are responsible for evaluating and purchasing appropriate coverage.

For questions about travel insurance or information about available options, contact Ticama Tours at asarlat@ticamatours.com at the time of booking.

Any insurance information provided by Ticama Tours is subject to applicable insurance licensing requirements. Only the insurer determines coverage and claims.

Declining insurance does not change the traveler's payment or cancellation obligations.

8. Airline Transportation

Airline services are provided by independent air carriers and are subject to carrier conditions, schedules, and operational decisions.

Travelers must provide their legal names exactly as shown on their passports.

Applicable airline fees for voluntary changes, baggage, seating, and name corrections may be the traveler's responsibility when properly disclosed.

Ticama Tours cannot guarantee flight schedules, aircraft types, connections, or airline performance.

Where a flight is canceled or significantly changed, travelers retain all applicable refund rights under U.S. Department of Transportation rules and other governing laws.

9. Passports, Visas and Immigration

Travelers are responsible for obtaining valid passports, visas, entry authorizations, and required travel documents.

Travelers must independently verify destination requirements based on their nationality and circumstances.

Ticama Tours is not responsible for consequences caused by a traveler's failure to obtain required documents, except to the extent legally attributable to Ticama Tours.

10. Hotel Accommodations and Room Sharing

Double-occupancy rates are quoted per person and assume two travelers sharing one room.

Single-occupancy rates apply to individual room use.

Travelers selecting double occupancy must provide accurate roommate information or contact Ticama Tours regarding an appropriate arrangement.

Booking one double-occupancy place does not guarantee that Ticama Tours can provide a roommate.

If a roommate cancels, Ticama Tours may offer an alternative arrangement or disclose a single-occupancy adjustment for the remaining traveler to accept.

Hotel room types, bed configurations, views, and special requests are subject to availability.

Reasonably comparable substitute accommodations may be arranged if the confirmed hotel becomes unavailable, subject to applicable remedies for material changes.

11. Travel Activities and Inherent Risks

International travel and recreational activities may involve risks, including illness, injury, transportation incidents, changing weather, uneven terrain, swimming, boating, wildlife, and conditions that differ from those in a traveler's home country.

Travelers acknowledge that certain risks are inherent in travel and cannot be entirely eliminated.

Travelers agree to exercise reasonable care, follow lawful safety instructions, use appropriate equipment, and disclose accommodation needs that affect participation.

To the extent permitted by law, travelers voluntarily assume ordinary and inherent risks of activities they choose to participate in.

This provision does not release Ticama Tours from liability for its own negligence or other conduct where such a release is prohibited or unenforceable.

Higher-risk activities may require a separate, activity-specific acknowledgment or waiver provided by the operator.

12. Health, Medical Care and Emergencies

Travelers are responsible for assessing their fitness for travel and obtaining medical advice when appropriate.

Guests should bring necessary medications and medical supplies in compliance with destination requirements.

In an emergency, Ticama Tours may contact local emergency services or assist in arranging transportation or medical attention when reasonably practicable.

Ticama Tours does not provide medical services and cannot guarantee the availability or quality of third-party medical care.

Travelers are responsible for medical and evacuation expenses not otherwise covered by applicable insurance or law.

Travelers should provide an emergency contact through the booking process.

13. Accessibility and Special Requests

Guests requiring accessibility accommodations or other assistance should contact Ticama Tours before booking.

We will review reasonable requests and coordinate with suppliers where practicable.

Specific accommodations depend on the destination, transportation, properties, activity providers, and applicable legal requirements.

A special request is not guaranteed unless confirmed in writing.

14. Independent Suppliers

Ticama Tours arranges services through independent airlines, hotels, transportation companies, restaurants, guides, excursion operators, and other suppliers.

These suppliers are responsible for performing their respective services in accordance with applicable contracts and laws.

To the fullest extent permitted by law, Ticama Tours is not responsible for independent supplier acts or omissions beyond its reasonable control that are not attributable to Ticama Tours' own breach, negligence, misrepresentation, or other legally actionable conduct.

Ticama Tours remains responsible for its own contractual and statutory obligations.

15. Limitation of Liability

To the fullest extent permitted by applicable law, Ticama Tours will not be liable for indirect, incidental, special, exemplary, or consequential damages arising from circumstances outside its reasonable control, except where such limitations are prohibited by law.

Any legally permissible limitation of monetary liability must be interpreted consistently with the nature of the claim, applicable consumer protection requirements, and the parties' contractual obligations.

Nothing in this Agreement excludes liability for fraud, willful misconduct, gross negligence, personal injury, or other matters to the extent exclusion is prohibited by applicable law.

Nothing in this Agreement limits legally required refunds or statutory remedies.

16. Traveler Responsibility and Indemnification

Travelers agree to comply with applicable laws, supplier instructions, and reasonable group safety requirements.

To the extent permitted by law, a traveler agrees to reimburse Ticama Tours for reasonable third-party losses, damages, or expenses directly caused by that traveler's unlawful conduct, intentional misconduct, or material breach of this Agreement.

This obligation does not apply to losses caused by Ticama Tours' own negligence, misconduct, or breach of legal duties.

It does not require travelers to defend or indemnify Ticama Tours against claims for which the Company is legally responsible.

17. Traveler Conduct and Removal

Ticama Tours is committed to maintaining a safe, respectful group environment.

Threats, harassment, violence, serious disruption, unlawful behavior, or refusal to comply with essential safety requirements may result in removal from an activity or trip when reasonably necessary.

Any additional costs directly resulting from a traveler's misconduct may be the traveler's responsibility to the extent permitted by law.

Such decisions will be made without unlawful discrimination.

18. Events Beyond Reasonable Control

Severe weather, natural disasters, government restrictions, public health emergencies, civil unrest, transportation disruptions, and other extraordinary events may affect travel.

Ticama Tours will make reasonable efforts to communicate changes and assist with available alternatives.

Any cancellation, rebooking, or refund rights will be determined under this Agreement and applicable law.

This section does not eliminate legally required refunds or excuse obligations that the law requires Ticama Tours to fulfill.

19. Festivals and Public Events

Some trips are scheduled around independent cultural events, including Panamá Carnaval and the Panamá Jazz Festival.

Event schedules, performers, venues, public activities, and admission arrangements are controlled by event organizers.

Ticama Tours does not guarantee particular performances, appearances, or activities unless expressly stated in the confirmed package.

Event tickets and transportation to performances are excluded unless specifically listed as included.

Ticama Tours is not officially affiliated with or sponsored by these event organizers unless expressly disclosed.

For Carnaval Week in Panamá 2027, the published itinerary is tentative. The order or timing of activities may change due to operational circumstances, weather, or public-event schedules.

20. Travel Delays and Missed Departures

Travelers are responsible for arriving at designated departure points on time and following communicated check-in instructions.

Guests who miss flights or group departures due to their own actions may be responsible for additional transportation, accommodations, or rebooking costs.

Ticama Tours will make reasonable efforts to assist with alternative arrangements but cannot guarantee their availability.

This section does not diminish passenger rights or remedies arising from airline or supplier failures.

21. Changes, Transfers and Substitutions

Requests to change travel dates, names, departure airports, room occupancy, or other confirmed arrangements must be submitted in writing.

Changes are subject to availability, supplier restrictions, and any disclosed additional charges.

Reservations are not automatically transferable to another traveler.

A substitution may be permitted when authorized by Ticama Tours and the relevant suppliers, subject to applicable law.

Special Rule for Carnaval Week in Panamá 2027

Traveler substitution requests must be submitted in writing no later than January 15, 2027.

Substitutions are not guaranteed and are subject to airline ticketing restrictions, supplier approval, availability, applicable name-change fees, and any airfare differences.

If a requested substitution cannot be completed, the applicable cancellation terms remain in effect, subject to applicable law.

22. Payments, Fraud Prevention and Chargebacks

Travelers agree to provide accurate billing information and use an authorized payment method.

Ticama Tours may request reasonable verification where necessary to prevent fraudulent transactions.

Travelers are encouraged to contact the Company promptly about billing questions.

Ticama Tours may submit relevant reservation records, payment confirmations, accepted terms, and correspondence when responding to payment disputes.

Nothing in this Agreement restricts a traveler's lawful chargeback, billing dispute, refund, or consumer protection rights.

23. Photography, Video and Marketing

Photos and videos may be taken during group activities.

Ticama Tours may request permission to use identifiable guest images in promotional materials.

Public marketing use will be subject to appropriate consent and applicable privacy and publicity laws.

Travelers may communicate photography preferences or concerns to the Company.

24. Privacy and Data Protection

Ticama Tours collects information reasonably necessary to arrange travel, communicate with guests, process payments, and fulfill reservations.

Relevant information may be shared with travel suppliers and service providers as necessary to deliver booked services.

Personal information will be handled in accordance with applicable law and the Company's Privacy Policy.

Travelers should not submit passport copies, financial account details, or other sensitive documents through unsecured communication channels unless specifically instructed to use an appropriate secure process.

The Privacy Policy is available at:

www.ticamatours.com/privacy-policy

25. Website Content and Intellectual Property

The Ticama Tours name, branding, original website text, photographs, graphics, and other Company-owned materials are protected by applicable intellectual property laws.

Website visitors may not reproduce or commercially use Company-owned content without permission, except as authorized by law.

Third-party names, trademarks, and event references remain the property of their respective owners.

26. Communications and Electronic Acceptance

Travelers consent to receiving transactional communications necessary for reservations, payments, itinerary updates, and travel coordination using the contact information they provide.

Marketing communications will be handled in accordance with applicable consent and opt-out requirements.

Electronic acceptance, confirmations, and records may be used to document the booking agreement to the extent permitted by law.

Travelers are responsible for providing accurate contact information and promptly notifying Ticama Tours of changes.

27. Complaints and Dispute Resolution

Travelers are encouraged to notify Ticama Tours promptly of concerns during a trip so reasonable corrective action may be considered.

Formal complaints should be submitted in writing to asarlat@ticamatours.com with relevant booking details.

The parties agree to make a good-faith effort to resolve disputes informally before initiating formal proceedings, where practicable.

Nothing in this section requires travelers to waive statutory remedies, accept mandatory arbitration, surrender small-claims rights, or forgo lawful regulatory complaints.

28. Governing Law and Jurisdiction

This Agreement will be interpreted under the law applicable to the booking and the contracting parties.

Any specific choice-of-law or court-venue provision must be consistent with mandatory consumer protection requirements and should be established following legal review of Ticama Tours' formation, operating location, and customer markets.

Nothing in this Agreement overrides nonwaivable legal rights.

29. Severability

If any provision of this Agreement is determined to be invalid or unenforceable, the remaining provisions will continue in effect to the extent legally permissible.

An unenforceable provision will not automatically invalidate the entire Agreement.

30. No Waiver

A failure or delay by either party to enforce a contractual provision does not automatically waive the right to enforce that provision later, subject to applicable law.

31. Entire Agreement and Order of Precedence

This Agreement, the accepted trip description, booking confirmation, disclosed payment schedule, and any expressly incorporated trip-specific terms constitute the booking agreement.

If a trip-specific term expressly conflicts with a general provision of this Agreement, the trip-specific term will control for that booking to the extent lawful.

For Carnaval Week in Panamá 2027, the special payment, cancellation, company-cancellation, and substitution provisions in this Agreement control over the corresponding general provisions.

No oral statement changes a confirmed booking unless the modification is accepted and documented as required by law.

32. Updates to These Terms

Ticama Tours may revise these terms for future bookings.

The version accepted at the time of a confirmed reservation will generally govern that booking unless a modification is agreed upon or otherwise legally permitted.

33. Traveler Acknowledgment

By affirmatively accepting this Agreement and completing a booking, the traveler acknowledges that they:

  • Have read and accepted these Booking Terms & Conditions.

  • Have reviewed the selected trip's dates, price, inclusions, and exclusions.

  • Understand the deposit and installment requirements applicable to their selected trip.

  • Understand that the general 45-day final payment deadline does not apply to Carnaval Week in Panamá 2027.

  • Understand that Carnaval Week in Panamá 2027 requires a $500 deposit per traveler, followed by two equal installments of the remaining balance on December 15, 2026, and January 15, 2027, for the standard installment plan.

  • Understand that the applicable cancellation charge is based on the total package price and the date written cancellation is received.

  • Understand that travel insurance is optional but strongly recommended at booking.

  • Understand that international travel involves inherent risks.

  • Accept responsibility for required travel documents and accurate booking information.

  • Understand that airlines, hotels, and excursion providers may operate independently.

  • Understand that double-occupancy pricing is per person and assumes two travelers sharing a room.

  • Understand that trip-specific terms may supersede the general provisions of this Agreement.
